Where Self Music Publishing Costs Songwriters Money

Publishing money usually goes missing at the registration layer, not the earning layer. Tracklib's guide to music publishing cites the Mechanical Licensing Collective reporting in 2021 that it was sitting on 423 million dollars, still waiting to be claimed by songwriters. That figure is a historical industry total spread across a huge number of unmatched compositions, not a sum sitting under any individual writer's name. It built up because recordings were streaming while the compositions behind them had no correct registration to pay against. Self-publishing puts a songwriter in direct charge of exactly those registrations. You keep the publisher's share of the income, and you inherit every filing a publisher's administration staff would otherwise handle. The places where that trade costs money are specific, and each one is checkable.

What Self-Administering Your Publishing Actually Means

Self-publishing is a job description before it is a business decision. Every composition generates income on two sides, the writer's share and the publisher's share. With no signed publisher in place, the publisher's share belongs to you, but it only reaches you if a publisher entity exists inside the systems that pay it out. In practice that means registering as a publisher with your PRO separately from your writer registration, keeping composition splits accurate across every co-writer, and filing for mechanical, performance, and sync income directly with each collecting body.

A publishing deal takes that work off your desk. Staff handle the registrations, maintain the PRO and foreign society relationships, and pitch songs for placements, in exchange for a negotiated share of income and, in traditional deals, a share of copyright ownership. Self-administering keeps the full publisher's share, and nothing else happens automatically. No one registers the work for you, corrects a split error, or notices that a release earning streams was never matched to a registered composition. Finding compositions with missing or incomplete splits is the maintenance task most self-publishers underestimate.

Where Original Compositions and Arrangement Sales Diverge

Self-publishing covers two activities that carry different obligations. Publishing an original composition means registering and collecting on a work you already own. Publishing an arrangement of someone else's song requires a license from the original copyright holder before you sell or distribute it. Musician and Co.'s self-publishing guide lists the two assumptions that most often get arrangers into trouble: that crediting the original composer provides legal cover, and that educational use removes the requirement. Neither one does.

The money also arrives through a different pipe. Platforms built for arrangement sales run on per-copy commissions rather than royalty collection. ArrangeMe states that more than 80,000 arrangers and composers use it and that over $10 million has been paid out to them. That is sheet music sales income. Listing a chart there does not register your composition with a PRO or the MLC.

The Registration Gap Between Songwriter and Publisher Roles

ASCAP, BMI, and SESAC treat the writer and the publisher as two separate affiliations. A songwriter affiliation registers you as a creator. It does not create the publisher entity that the publisher's half of each performance royalty is paid to. When only the writer side exists, that publisher share either goes uncollected or sits held pending correction, depending on how the work was registered and whether a co-writer's publisher claimed a portion of the song.

The sequence matters. Register as a songwriter first, then register a publisher entity, then link that publisher entity to every individual composition in your catalog. A work registration that names your writer share but leaves the publisher share blank or assigned to nobody is the single most common reason a self-publisher sees performance income that looks roughly half the size it should be. Checking registration status song by song, rather than assuming the affiliation covers everything, is the only reliable way to catch it.

Which PRO you affiliate with also becomes a business decision once you are the publisher, because the publisher entity is tied to one PRO's terms. Fees, contract length, and payment frequency differ between ASCAP, BMI, and SESAC, and comparing which PRO pays the most for your kind of activity is worth doing before you lock a publisher affiliation in place.

Mechanical and Digital Royalties That Require Separate Registration

PRO registration handles performance income only. Mechanical royalties from US streams and downloads are collected and distributed by the Mechanical Licensing Collective, which requires its own registration and its own matching of recordings to compositions. Those two systems do not talk to each other on your behalf. The unclaimed total Tracklib cites from the MLC exists because compositions were not matched to registrations, which is a filing failure rather than a payment failure.

SoundExchange sits on a third layer. Digital performance royalties from non-interactive sources such as satellite and internet radio pay on the sound recording rather than the composition, and knowing what digital performance royalties are and who collects them determines whether you need that registration at all. If you self-released the master, you do.

The layer that confuses self-publishers most is the distributor. A distributor such as DistroKid or Amuse pays you on the master side for interactive streams and downloads. That payment is real income, and it is not evidence that your composition is registered anywhere. A song can pay out through a distributor for years while the publishing side of the same song remains unmatched. The pipelines also run on different schedules, which is why understanding how long it takes to receive music royalties from each source helps you tell a registration gap apart from a normal delay.

Sync Placements and Foreign Collection You Have to Chase Yourself

Sync income normally arrives through a publisher's standing relationships with film, television, and advertising music supervisors. Without a publisher, finding and negotiating those placements is your responsibility, and so is the paperwork that follows a placement: licensing the composition, invoicing the fee, and making sure the cue sheet reflects your publisher entity so the performance royalties from the broadcast reach you.

Foreign income is the gap self-publishers notice last. The MLC covers US streaming and download activity, so mechanical income earned abroad runs through territory-specific societies instead. Tracklib reports that outside the US the mechanical rate is around 8 to 10 percent of the sold unit or digital download, a different structure from the US rate entirely. Without a sub-publisher or a reciprocal collection arrangement in a given territory, foreign mechanical and performance income is not gathered up and forwarded to you automatically. Neighbouring rights, which pay performers and recording owners for use of the recording rather than the composition, move through yet another collection system with its own registration requirements.

Administration Services Versus Doing Every Filing Alone

A publishing administration service is the middle option between self-filing and a publishing deal. Administrators file your registrations and collect mechanical, performance, and sync royalties across PROs, the MLC, and foreign societies, taking either a percentage of what they collect or a flat fee. Songtrust is one of the better-known services in this category. What you are buying is the filing and collection function, particularly the foreign society coverage that is difficult to build one territory at a time.

The difference from a publishing deal is ownership. An administration agreement leaves the copyright with you, along with the right to negotiate your own sync and licensing deals. A traditional publishing deal typically involves transferring ownership or co-ownership of the copyright in exchange for the publisher's investment and services. So the real comparison is not administration against self-publishing in general, but the administrator's cut weighed against the registrations you are realistically going to maintain yourself and whether your catalog earns in territories you have no route into.

How Missing Registrations Show Up at Catalog Sale or Financing

Registration gaps stay invisible until someone else inspects your catalog. A catalog review checklist published by Creative Funding Agency estimates that missing or incorrect information can reduce a valuation by 20 to 40 percent, delay closing by 30 to 90 days, or end a deal entirely when major revenue streams cannot be verified. The same checklist estimates that a focused review taking two to four hours can add $50,000 to $250,000 in value, with the caveat that these are that firm's figures for the deals it sees rather than a rate any individual catalog should expect.

The mechanism behind the discount is straightforward. Buyers price what they can verify. That checklist notes buyers expect the last 24 to 36 months of royalty statements, because Buyers want to see consistent earnings history. A publisher share that was never registered produces no statement history, so income you were entitled to but never collected does not appear in the earnings a buyer is willing to pay a multiple on. Fixing a registration today starts the clock on documentation you may need years from now.

Deciding What to Register and What to Delegate

Self-administering works when you can confirm each collection point rather than assume it. The specific things to verify:

A publisher entity registered at your PRO, separate from your writer registration, and linked to every composition.
An active MLC registration with each composition matched to the recordings that use it.
A SoundExchange registration if you own the master on any self-released recording.
Foreign collection covered by a sub-publisher or a reciprocal arrangement in territories where you actually earn.

Each unconfirmed item is a named place where income stops, not a general warning. If all four hold and you monitor them as you release, continuing to self-administer is a reasonable position, because neither an administration service nor a distributor closes every gap by default. When one of them does not hold, that is the point to either file the missing registration or pay someone to maintain it. Mogul works on that side of the problem, helping songwriters find missing royalties and fix registration gaps with PROs, the MLC, and SoundExchange, including a music royalty finder that checks what may be unclaimed across those systems.
